A sales discovery template is a structured format for documenting discovery calls with potential customers. It defines what to capture from each conversation: the key facts about the prospect and the opportunity, the core problem and its quantifiable business impact, how they handle things today and what it would cost to switch, the decision-making process and timeline, the competitive landscape, and a qualification assessment. The goal is to produce notes that tell the full story of the opportunity - so the sales team can move fast, forecast accurately, and hand off deals without losing context.

About this template

This template has six sections. Each one tells Jamie what to capture during a sales discovery call and how to structure the output.

Section 1: Prospect Overview

Captures the key facts about the prospect: contact name and role in the buying process, company details, how the lead was generated, and what prompted them to take this call now.

Section 2: Pain and Business Impact

Documents the core problem and why it matters to the business - who is affected, the quantifiable impact in hours or revenue, and how long it has been a problem. The most important section for qualification. If the prospect could not articulate clear business impact, that is noted explicitly as a qualification gap.

Section 3: Current Solution and Switching Cost

Captures how they handle things today: current tools and vendors, what they spend, the switching cost and risk, contract or renewal dates, and who internally is attached to the current solution.

Section 4: Decision Process and Timeline

Maps out how this deal gets done - who makes the final decision, who else needs to approve, the evaluation process, timeline, budget, and what would kill the deal.

Section 5: Competitive Landscape

Documents who else they are evaluating, what stood out from competitor demos, and the criteria they are using to compare options.

Section 6: Next Steps and Qualification Assessment

Captures the agreed next step with owner and deadline, plus a qualification summary: is this a real opportunity, what are the biggest risks, and what needs to be true for it to move forward.

Why Teams Use This Template

Discovery is where deals are won or lost and the notes rarely reflect that

The business impact, the real decision-maker, the competing solution the prospect prefers - these come out in discovery. When the notes from that call are unstructured, the information that determines whether the deal closes gets lost in someone's memory or a messy doc.

Structured discovery notes make forecasting more accurate

When every discovery call produces a consistent qualification summary - confidence level, biggest risks, what needs to be true - the pipeline review becomes a real conversation instead of a guessing game.
