A product demo template is a structured format for documenting product demonstrations with prospects or customers. It defines what to capture from each session: who attended and what was shown, which features or moments got the strongest positive reaction, every objection and concern raised, the questions the prospect asked grouped by theme, any competitive signals mentioned, and the agreed next steps with an honest assessment of commitment level. The goal is not to document what was shown - it is to capture how the audience reacted, so the team knows exactly what to emphasize, what to address, and what the real risks to the deal are.
About this template
This template has six sections. Each one tells Jamie what to capture during a product demo and how to structure the output.
Section 1: Demo Context
Captures who attended and their roles, which features and workflows were shown, and whether this was a first demo, technical deep-dive, follow-up, or final evaluation.
Section 2: What Resonated
Documents the moments where the prospect showed clear positive interest - which features got the strongest reaction, what they said when impressed, and any "aha moments" where something clicked. Captures exact quotes rather than vague impressions.
Section 3: Objections and Concerns
Lists every hesitation, pushback, or concern raised - pricing, security, integration, adoption, or competitive comparisons. For each objection: was it addressed or left unresolved.
Section 4: Questions Asked
Lists every question the prospect asked, grouped by theme: technical, workflow, pricing, implementation, and customer reference questions. Questions reveal what the prospect cares about most.
Section 5: Competitive Signals
Captures any references to competitors - which products they mentioned, which features they benchmarked against, and where the team sits in their evaluation.
Section 6: Next Steps and Commitment Level
Captures the agreed next action with owner and deadline, plus an honest commitment assessment: are they moving forward with urgency or stalling, and what is the single biggest risk to the deal right now.
Why Teams Use This Template
What happened in the demo and how the prospect actually reacted are two different things
AEs who run demos are focused on presenting, not observing. The VP who barely spoke but nodded at the exact feature that matters for their use case - that signal gets missed without structured notes. A template that separates "what resonated" from "what was shown" forces the right kind of observation.
Unresolved objections are where deals die
The objections raised during a demo that were never fully addressed are the ones that kill deals in the final stages. A structured objections section - with a note on whether each was resolved or left open - makes those risks visible before they become surprises.
Questions asked are the most honest signal of buying intent
Prospects who are genuinely evaluating ask specific questions about implementation, pricing tiers, and security. Prospects who are just ticking a box ask generic ones. A structured questions section makes that distinction clear - and tells the next person in the deal exactly what still needs to be answered.
Multi-stakeholder demos are impossible to debrief from memory
