An interview template is a structured format for documenting job interviews with candidates. It defines what to capture from each session: the candidate's background and the interview setup, their relevant professional experience as discussed, the competency assessment with evidence for each core skill, culture and motivation signals, concerns and red flags, and a clear hiring recommendation with next steps. The goal is to produce notes that help the hiring team make a confident, evidence-based decision without having been in the room - and ensure the most important signals don't get lost between the interview and the debrief.
About this template
This template has six sections. Each one tells Jamie what to capture during a job interview and how to structure the output.
Section 1: Candidate Overview
Captures the basic facts: candidate name, current role, position they are interviewing for, interview stage, and interviewers present.
Section 2: Experience Walkthrough
Documents the candidate's relevant professional background as discussed - key roles, responsibilities, notable achievements with specifics, reasons for leaving, and any gaps or inconsistencies. Captures what they actually said, not a rewrite of their resume.
Section 3: Skills and Competency Assessment
Evaluates the candidate's ability to do the job. For each core competency: what question was asked, how the candidate responded, and how strong the evidence was. Highlights skills that were expected but not demonstrated.
Section 4: Culture and Motivation
Captures signals about fit: why they are interested in the role and company, what work environment they thrive in, working style and collaboration preferences, and what questions they asked (which reveals their priorities).
Section 5: Concerns and Red Flags
Lists anything that raised doubt: vague or evasive answers, misalignment between stated experience and demonstrated knowledge, salary or timeline mismatches, or anything that felt off. If there were no concerns, that is stated explicitly.
Section 6: Recommendation and Next Steps
Provides a clear assessment: advance, hold, or reject. Top strengths, top risks, suggested next step, and specific topics the next interviewer should probe.

The difference between "seemed strong" and "gave a specific example of managing a 12-person team through a reorganization with measurable retention outcomes" is the difference between a vague debrief and a useful one. Structured interview notes preserve the evidence before the impression takes over.

When every interview produces notes in the same six-section format, comparing two final candidates is a structured exercise rather than a memory contest. Same competency, different evidence quality. That comparison only works when the notes use the same categories every time.
