A 1:1 meeting template is a structured format for documenting recurring one-on-one meetings between a manager and a direct report. It defines what to capture from each session: how the person is doing overall, what progress and wins to acknowledge, what is blocking them or causing frustration, the feedback exchanged in both directions, development and career topics discussed, and the action items each person committed to. The goal is to produce notes that make 1:1s useful over time - so conversations build on each other, commitments get followed up, and development goals don't get forgotten between reviews.
About this template
This template has six sections. Each one tells Jamie what to capture during a 1:1 and how to structure the output.
Section 1: Check-In
Captures how the person is doing overall - their energy, engagement, and morale. This section is about the person, not the tasks.
Section 2: Progress and Wins
Documents what went well since the last meeting: accomplishments, milestones hit, and wins worth recognizing.
Section 3: Blockers and Challenges
Lists anything slowing them down: resource or dependency blockers, unclear priorities, decisions they need, interpersonal issues, or things they have been putting off.
Section 4: Feedback Exchanged
Captures feedback given in both directions - what the manager shared, what the report shared, and any feedback about team dynamics or processes. Notes the substance, not just that feedback was given.
Section 5: Growth and Development
Documents career development topics: progress toward development goals, new skills they want to build, stretch assignments discussed, and career aspirations mentioned.
Section 6: Action Items
Lists every follow-up action with a clear owner - what the manager committed to, what the report committed to, and items carried over from previous 1:1s.
Why Teams Use This Template
1:1s that don't produce structured notes tend to repeat the same conversations
Without a record of what was discussed, committed to, and flagged last time, the next 1:1 starts from scratch. Structured notes make the previous conversation the starting point for the next one rather than a vague memory.
Commitments without owners and deadlines rarely happen
The most common failure mode in 1:1s is the action item that both people remember differently two weeks later. A structured action items section with clear owners makes commitments explicit and easy to carry forward.
Development goals disappear between annual reviews
Career development topics discussed in a 1:1 in January are often completely forgotten by the December review. A structured growth section in every 1:1 note creates a running record of development conversations that both manager and report can reference at any time.
Feedback is more useful when the substance is documented
Vague notes like "discussed performance" help no one. Structured notes that capture what feedback was given, in what context, and how it was received create a useful record for the manager, the report, and HR.
