A weekly team meeting template is a structured format for documenting weekly team syncs or kickoff meetings. It defines what to capture from each session: a review of the previous week including what was accomplished and what was not, the team's priorities for the coming week with owners and deadlines, risks and blockers that could prevent those priorities from being hit, decisions made during the meeting, and a complete action item list. The goal is to produce notes that make the weekly meeting the team's single source of truth for what happened last week, what matters this week, and what each person is committed to.
About this template
This template has five sections. Each one tells Jamie what to capture during a weekly team meeting and how to structure the output.
Section 1: Last Week in Review
Summarizes what happened: key accomplishments, what was planned but did not get done and why, anything that took longer than expected, and any metrics or KPIs reviewed with the actual numbers.
Section 2: This Week's Priorities
Documents the top 3 to 5 priorities for the team, who owns each one, upcoming deadlines, and dependencies that need coordination.
Section 3: Risks and Blockers
Lists anything that could prevent the team from hitting this week's goals: risks raised, what is currently blocked and by whom, cross-team dependencies, and capacity constraints.
Section 4: Decisions Made
Captures every decision made during the meeting: what was decided, who made it, the context and reasoning, and who needs to be informed.
Section 5: Action Items
Lists every follow-up action with owner, deadline, and any items carried over from the previous week.
Why Teams Use This Template
Weekly meetings without structured notes tend to repeat the same conversations
Without a record of last week's priorities and what actually happened, the weekly meeting starts from everyone's individual memory rather than a shared baseline. Structured notes make the previous week the starting point for this week.
Decisions made in the meeting need to be recorded to stick
A decision made in a weekly meeting that is not documented often gets revisited the following week because someone missed it or remembered it differently. A structured decisions section creates a record that everyone can reference.
Action items without owners disappear
The most common failure mode in weekly meetings is the action item that had no clear owner. A structured action items section with explicit owners and deadlines makes accountability visible.
Notes shared after the meeting keep the whole team aligned
