Use Template
A compliance review template is a structured format for documenting compliance review meetings and regulatory check-ins. It defines what to capture from each session: the scope and participants of the review, the findings and observations identified, a risk assessment for each finding, the remediation actions required with owners and deadlines, and any follow-up or escalation needed. The goal is to produce a complete, traceable compliance record - so every finding is documented, every remediation action is assigned, and the organization can demonstrate due diligence in its compliance process.
About this template
This template has five sections. Each one tells Jamie what to capture during a compliance review and how to structure the output.
Section 1: Review Context
Captures the scope of the review, participants, regulatory framework or policy being reviewed against, and the period or area covered.
Section 2: Findings and Observations
Documents each finding identified during the review - what was observed, where the gap or breach occurred, and the evidence or basis for the finding.
Section 3: Risk Assessment
Assesses the severity and likelihood of each finding: high, medium, or low risk, potential regulatory or business impact, and whether the finding is isolated or systemic.
Section 4: Remediation Actions
Lists the specific actions required to address each finding, with a clear owner, deadline, and how completion will be verified.
Section 5: Follow-Up and Escalation
Captures findings that need to be escalated, commitments to report back to regulators or senior management, and the schedule for the next review.
Why Teams Use This Template
Compliance findings that are not documented create regulatory exposure
A compliance issue identified in a review but not formally recorded is harder to demonstrate was addressed. Structured documentation of every finding and every remediation action is the evidence that due diligence was exercised.
Remediation actions without owners and deadlines do not get completed
A finding without an assigned owner and a specific deadline tends to stay open. A structured remediation section that makes ownership and timing explicit is what converts a compliance finding into a resolved issue.
Risk assessment needs to be consistent across reviews
When every compliance review uses the same risk assessment framework - high, medium, low, with documented basis - the organization builds a consistent risk record over time. That consistency matters when regulators ask for evidence of a systematic compliance approach.
Compliance officers spend less time on documentation and more time on remediation
A compliance review write-up done manually is time-consuming and often delayed. With this template, Jamie produces structured notes within minutes of the review ending - so the compliance officer can focus on addressing findings rather than documenting them.
