Use Template
A client status update template is a structured format for documenting recurring status meetings with a client during an active engagement. It defines what to capture from each session: what was accomplished since the previous meeting, any substantive findings or deliverables shared, risks and issues that need the client's attention, decisions the client needs to make, and action items from both sides. The goal is to produce a consistent record of every client touchpoint so the engagement stays on track, the client is never surprised, and every commitment made in a meeting gets followed up.
About this template
This template has five sections. Each one tells Jamie what to capture during a client status update and how to structure the output.
Section 1: Progress Since Last Update
Summarizes what was accomplished: deliverables completed, work in progress, tasks that were planned but not completed and why, and hours or budget consumed vs. plan.
Section 2: Key Findings or Outputs
Captures substantive findings, analysis results, draft deliverables presented, recommendations made, and client feedback on what was shared.
Section 3: Risks and Issues
Lists anything threatening the timeline, quality, or scope: new risks, escalating existing risks, issues requiring the client's attention, and scope changes requested. Each with severity, owner, and proposed mitigation.
Section 4: Decisions Needed
Lists every decision the client needs to make: what the decision is, the options, the recommended course of action, by when it is needed, and what happens if it is delayed.
Section 5: Action Items
Lists every follow-up action with owner and due date from both sides, plus upcoming milestones.
Why teams use this template
Clients who are never surprised stay clients
The moment a client hears about a risk or a delay for the first time is the moment trust erodes. A structured status update that surfaces risks and issues every meeting - with severity and mitigation - keeps the client in the loop before things become problems.
Decisions the client needs to make should be explicit, not implied
When a decision is buried in a status update narrative, it tends not to get made. A dedicated decisions needed section that names the decision, the options, the recommendation, and the deadline makes the ask unmissable.
Consistent status updates protect the engagement in disputes
When a client claims they were not told about a risk or a delay, the structured status update notes are the record. Every risk raised, every decision requested, every action item committed to - all documented in a consistent format over the life of the engagement.
Status updates are recurring and the write-up time compounds
A weekly status update that takes 30 minutes to write up means 24 hours per year spent on documentation for a single client. With this template, Jamie produces structured notes within minutes of the meeting ending - so the team focuses on the work, not the write-up.
