Use Template
A training session template is a structured format for documenting training meetings, workshops, and learning sessions. It defines what to capture from each session: the session context and learning objectives, the topics and content covered, key takeaways participants should remember, exercises or activities completed with outcomes, questions raised by participants and the answers given, and follow-up resources and next steps. The goal is to produce notes that serve as a reference for participants after the session - so the learning is accessible and actionable beyond the room, not just during it.
About this template
This template has six sections. Each one tells Jamie what to capture during a training session and how to structure the output.
Section 1: Session Context
Captures the session title and learning objectives, who delivered it, who attended, and the format - in-person, virtual, or hybrid.
Section 2: Topics Covered
Documents the content covered in the session: main topics, key concepts, frameworks introduced, and the sequence in which they were covered.
Section 3: Key Takeaways
Pulls out the most important things participants should remember and apply: the 3 to 5 insights or skills that matter most from the session.
Section 4: Exercises and Activities
Captures exercises or activities completed during the session, the instructions given, and the key outputs or observations from each.
Section 5: Participant Questions and Answers
Documents questions raised by participants and the answers given - including questions that were deferred or not fully answered during the session.
Section 6: Follow-Up Resources and Next Steps
Lists reading materials, tools, or resources recommended, any assignments or practice tasks, and the schedule for the next session if part of a series.
Why Teams Use This Template
Training without documentation has a short shelf life
Most of what is learned in a training session fades within 48 hours without a reference. Structured notes that capture key takeaways, exercises, and follow-up resources extend the session's value significantly beyond the room.
Participant questions reveal what the training did not make clear
The questions asked during a training session are the most direct signal of what was confusing or incomplete. A structured questions section captures every one of them - including those that were deferred - so trainers can improve future sessions.
Consistent documentation makes training programs easier to scale
When every training session produces notes in the same six-section format, the L&D team can compare what was covered across sessions, identify gaps, and build on previous sessions systematically.
Trainers spend less time on write-ups and more time on content
A training session write-up done manually takes significant time. With this template, Jamie produces structured notes within minutes of the session ending - so the trainer focuses on delivering the next session, not documenting the last one.
