Use Template
An expert call template is a structured format for documenting expert network calls during investment due diligence. It defines what information should be captured from each call: the context of the conversation, the expert's background and relationship to the topic, the key insights they shared, any risks or concerns they raised, their forward-looking view on the market, and any open questions that require follow-up. The goal is to produce notes that are consistent across calls, comparable without reformatting, and ready to use in IC materials or deal memos - so deal teams can synthesize patterns across 10, 15, or 30 expert calls on the same target without losing critical detail.
About this template
This template has six sections. Each one tells Jamie what to listen for during an expert call and how to structure the output.
Section 1: Call Context
Captures the deal or target name, the expert's name and role, and the core diligence question the call was designed to answer. When you're running 15+ expert calls on a single deal, this section is what lets you find the right call three weeks later without scrubbing through transcripts.
Section 2: Expert Profile
Documents who this person is and how they relate to the topic being discussed - their relevant background, how they interact with the market or customer base, and any stated limitations of their perspective. This context matters when you revisit notes weeks later and need to weigh one expert's view against another.
Section 3: Summary of Key Insights
Pulls out the most important observations the expert shared. Market dynamics, customer decision criteria, competitive positioning, operational or technical realities. Structured as bullet points so they scan fast and drop directly into deal memos.
Section 4: Risks or Constraints Mentioned
Isolates anything the expert flagged as a concern. Market or adoption limitations, operational bottlenecks, regulatory or structural constraints. This is the section that matters most in diligence and is easiest to lose in unstructured notes.
Section 5: Outlook
Captures where the expert thinks the industry is heading. Likely winners and losers, what would worry them over the next 3 to 5 years. Forward-looking signal you can reference and compare across multiple expert calls on the same deal.
Section 6: Open Questions and Follow-Ups
Collects anything the expert couldn't answer or areas they suggested need further investigation - plus any follow-up actions mentioned during the call. This section is what keeps the thread between calls alive so nothing falls through the cracks.
Why deal teams use this template
Expert calls generate the most valuable diligence insights and the worst documentation
If you run 10+ expert calls per deal, the documentation problem compounds fast. Each call generates insights that need to make it into memos, IC materials, and follow-up questions for the next call. And the person taking notes is usually the same person asking the questions. Something always gets lost.
Consistent structure makes cross-expert comparison possible
When every expert call comes out in the same six-section format, you can compare across experts without reformatting anything. What did three different former customers say about churn? What risks came up across all five calls? That pattern recognition is only possible when the notes are structured the same way every time.
Your associate stops spending an hour per call writing up notes
The average expert call write-up takes 30 to 60 minutes when done manually. With this template, Jamie produces structured notes within minutes of the call ending. Your associate's time shifts from documentation to analysis.
Handoffs get faster
When someone joins a deal midstream, they can read through 15 structured expert call summaries and get up to speed in a fraction of the time it would take to listen to recordings or parse unstructured notes.
